After purchasing and successfully installing easytranscript, you can activate the program via the menu “About” -> “Register…”. Then, log in using your easytranscript.de account or activate easytranscript with the license key that was sent to you by email. To ensure that easytranscript supports other audio/video file formats, please install a current version of the VLC player. You can download it here: https://www.videolan.org.
After installation, enable the use of the VLC player in the easytranscript settings under “Player” -> “Use the VLC player.”

Yes, easytranscript offers automated transcription. This allows you to quickly and reliably convert audio or video files into text – over 100 languages are supported, as well as files with multiple audio tracks. In addition, you can apply your own transcription rules and edit the result directly in easytranscript.

The quality of automated transcription depends heavily on the audio quality and the settings selected. You can significantly improve the result with the following tips:

Before recording:

  • Ensure a quiet environment without distracting background noise.

  • Place the microphone as close to the speaker as possible.

  • Ensure that your device has high recording quality (e.g. high bit rate, ideally in WAV format).

When using easytranscript:

  • Select the correct language for the recording.

  • Select an appropriate rule set if you require transcription rules. If not, it is better to don’t use a rule set.

Automatic recognition is based on acoustic features such as pitch, volume, and speech rate.
In noisy environments, when several speakers overlap, or when pronunciation is unclear, word boundaries or accents may be slightly shifted.
These deviations are due to technical reasons and can be manually adjusted or smoothed out in the editor at any time.

A transcription rule set determines how spoken language is represented in the text—in other words, which scientific or practical conventions are used to structure the transcript.
In easytranscript, you can choose between different rule sets depending on your goal:

  • No rules: easy-to-read continuous text, ideal for interviews or documentation.

  • Dresing & Pehl: simplified scientific transcription form, suitable for qualitative social research – clear structure, but without complex linguistic notation.

  • GAT (Conversational Analysis Transcription System): detailed representation of stress, pauses, and intonation, frequently used in linguistic research.

  • Jefferson: particularly suitable for conversation analysis research and subtle gradations in speaker changes.

In transcriptions according to GAT or Jefferson, lines are not structured according to grammatical sentences, but according to spoken language and prosodic units. This means that the structure is based on intonation, pauses, emphasis, and speaker changes—in other words, on how people actually speak.

This means that a sentence can be spread over several lines or end in unusual places. This structure has been deliberately chosen to reflect the natural flow of conversation as closely as possible—especially in interviews, group discussions, or spontaneous speech.

Please note that the transcription of these rules is constantly evolving and being improved. If you believe you have found an error, please let us know.

If you want to change the rule set (e.g. If you want to change from No Rules to GAT), the transcription must be regenerated.
The underlying audio analysis is different for each set of rules and is therefore calculated individually in each case.

Yes. If you use easytranscript in a manner that is relevant to data protection law, we can provide you with a data processing agreement (DPA).
This regulates the handling of personal data in accordance with Art. 28 GDPR.

In rare cases, delays may occur—e.g., due to high server load or an unstable Internet connection.

With automatic transcription, easytranscript can recognize speakers based on their voice profiles and assign them separately.
Features such as pitch, volume, and pauses are analyzed to determine when one person stops speaking and another begins.

Optionally, you can also specify a separate audio file for each speaker (e.g., for multi-track recordings). This makes the assignment particularly reliable.

The option to store your own dictionaries—for example, for technical terms, proper names, or project-specific terms—is currently in planning.
In a later version of easytranscript, it will be possible to add user-defined word lists to further improve recognition accuracy.

All foot switches that are freely programmable, i.e. whose function can be set to any button or button combination when the button is pressed, are supported. If you have any questions about a specific foot control, please write to us at support@easytranscript.de

Yes, simply click on “Import” in the sidebar of the new transcript under shortcuts and select the transcript whose keyboard shortcuts are to be inserted.

easytranscript supports a variety of document formats (docx, odt, rtf, txt, html). If you can export the transcript from your previous transcription program, import it into easytranscript and attach the corresponding media file.

You can activate the automatic saving of your transcript in the settings under “Program”. In addition, regular backups of your transcript are created. You can find these in your user directory under easytranscript3/logs.

Installing the VLC player considerably increases the selection of supported audio/video formats. The VLC player is a free and widely used media program.

All you need to do is download and install the program under Downloads. That way you get the latest easytranscript version.

For use on Mac and Windows, easytranscript does not require an additional Java installation.

If you want to use easytranscript under Linux, you need Java 17 or higher.

The backups are located in your user directory under easytranscript3/backups.

The .ett transcription files contain both the transcript document and the audio or video file. This ensures that the document always remains linked to the media file and that you can easily move and forward the file.

easytranscript 3 has been redeveloped from the ground up and includes numerous new functions such as export to various formats, improved time recording and even faster transcription thanks to automated word suggestions and corrections.

In order to continuously develop easytranscript further, easytranscript 3 is no longer offered free of charge, but commercially.
